Asset Status Feature Release Notes
Overview
Asset Status introduces an administrative list of reusable status values that can be assigned to assets and used to control whether assigned records remain visible in certain PCX areas. The feature is designed to centralize status maintenance, limit status setup to the correct organizational scope, and allow teams to control operational visibility without deleting the underlying assets.
What Is New
- A new Asset Status list is available from Administration > Lists > Asset Statuses.
- Administrators can create, edit, and delete Asset Status records from the top-level Organizational Unit.
- Each Asset Status requires a Name and includes separate visibility controls for Index, Dashboard, Report, and Test Standard use cases.
- Assets can be assigned an Asset Status from values available from their current OU and up.
- Assigned Asset Status values influence whether assets appear
NEW Filter: Show Inactive – by default this is off which will hide any Retired or “hide from index” items in your Asset list.
- NEW Organizational Profile and Organizational Unit override: Default Asset Status, which fills in the default status for new items and new items creating via import.
Use Cases
- Retire assets to move them into storage and avoid overdue notices for retired items.
- Create “Out for Service”-style Asset Statuses for any Test Standards that should temporarily not be used.
- Export large sets of Assets set for Retirement or Activation, and copy paste into the simple Import Assets spreadsheet. Copy paste default Status values
Permissions and Access
- Authorized administrators can create and edit Asset Status records.
- Users without the required permission are blocked from making changes and should receive an insufficient privileges message.
Downstream Impact
- Index Visibility controls whether assigned assets appear in Asset Index.
- Dashboard Visibility controls whether assigned assets appear on Scheduling Dashboard views.
- Report Visibility controls whether assigned assets appear in Items Due Report outputs.
- Test Standard Visibility controls whether assigned test standards appear in the Results screen's Test Standards Used selection.
